Upload attachments
This option will only appear for template where an Attachment can be loaded i.e. Contract Notes, Documents, Alerts etc.
Fig 8 - Upload Attachment option
When selected a pop up will appear where you can upload or drag and drop a zip file of documents.
Fig 9 - Attachment pop up
Once uploaded, the validation process will validate any value entered in the 'Attachment' column of your template file against that zip file. Each template refers to its own uploaded zip file. If the file name in the Attachment field has been entered incorrectly then it will display as an error.
Fig 10 - Attachment Filename error
Note: the filename entered in the grid must match the filename in the zip exactly. Any typos will result in and error, i.e. if the filename in the zip is ABC.pdf but the filename in the grid is ABD.PDF they they will not match and you will see an error.
Fig 11 - Attachment Warning
If you try to upload another zip to the template a warning will appear saying there is already one uploaded, if you continue then the previous zip file will be removed from the template file and all values in the grid will validate against this new zip file.
Note: Each template tab will validate against its individual zip file, if you have 1 zip file with documents for multiple templates then you must upload the same zip file against each template tab.
ZIP File Structures
The documents held within your ZIP file may be directly saved into the file, or it could contain various internal folders such as:
- Direct - Contract Documents/ABC NDA 2020.pdf
- Via internal Folders - Contract Documents/Client/May/ABC Limited/ABC NDA 2020.pdf
The path in which your documents have been saved into your ZIP file should match exactly to the filename path in your csv file. If these do not match, then the system will not be able to store your file and will give you an error during import saying they are missing.
If this is the case, then you will need to either adjust your ZIP file and remove the file structure, or add the file structure to your csv file.
Local Links
If you are choosing not to upload physical Documents, but rather utilising the Local Links function, then the file name column should reflect the External Link path. Please refer to the Local Links article for full details how to enable this feature, and refer to the Usage section on how to copy the External Link path to paste into your CSV file.
