Adding Parties to a Contract works a little differently than the other fields as Parties can exist as their own record that can be created and edited.  


Rather than typing a Party name in the Contract field, intelligentcontract links the Party directly to the Contract and vice versa. This link is displayed in a sub-tab below the contract record.


To add a Party to a Contract, there are two ways, either link a Party to a Contract or a Contract to a Party - this will be dependant on which record you are initially in but both options result in the same linkage.


Link a Party to a Contract


If you are updating an existing Contract:

  • Navigate to Contracts
  • Find the specific Contract and open
  • Scroll to the bottom of the form to the sub tabs, select the Party tab
  • Press [New], you will be presented with the Create Party form


If you are creating a new Contract:

  • Navigate to Contracts > Click [New]
  • Create the new Contract and save the record, scroll to the bottom of the form and the sub tabs will now be displayed , select the Party tab 
  • Press [New], you will be presented with the Create Party form

  • Name - Click in the field to display a drop down list of all the existing Party records held within the database. Use the scroll to find your Party or start typing in the field and the drop down list will adjust as you type to match your text. You can use the magnifying glass to display the 'Find' screen to be able to search for the correct Party using various options, such as Postcode or Address.  If this is a new Party then use the + Add New Party option to create a new record.
  • Classification - Identify the relationship of the Party to the Contract (Customer / Supplier / Agent)
  • Contract - The Contract will default from the Party record
  • Primary Organisation - If this is ticked then this Party will be displayed on the Contract Summary screen if selected in a Contract View 


Link a Contract to a Party


If you are updating and existing Party record:

  • Navigate to Parties
  • Find the specific Party and open
  • Scroll to the bottom of the form to the sub tabs, select the Contract tab
  • Press [New], you will be presented with the Create Contract Party form


If you are creating a new Party:

  • Navigate to Parties > Click [New]
  • Create the new Party and save the record, scroll to the bottom of the form and the sub tabs will now be displayed, select the Contract tab
  • Press [New], you will be presented with the Create Contract Party form

  • Name - The Party name will default from the Party record
  • Classification - Identify the relationship of the Party to the Contract (Customer / Supplier / Agent)
  • Contract - Click in the field to display a drop down list of all the existing Contract records held within the database. You can use the magnifying glass to display the 'Find' screen to be able to search for the correct Contract using various options, such as Title or Value.  If this is a new Contract then use the + Add New Contract option to create a new record.
  • Primary Organisation - If this is ticked then this Party will be displayed on the Contract Summary screen if selected in a Contract View 

TIP: The first Party record to be assigned to a Contract will default as the Primary Organisation, if more than one Party is assigned the Primary flag can be adjusted accordingly, this promary party record will be displayed in the Summary screen if it has been selected.


Once the link is saved you will then have the ability to search and view all the Contracts associated to a specific Party or all the Parties associated to a specific Contract.
