Understanding Security Groups
intelligentcontract's basic security functionality allows an Administrator to create multiple Security Groups with Users assigned, and then to apply that Security Group to a specific record; therefore restricting who can see that record to only Users within that Security Group.
For example, you can have a Security Group called 'Legal' with the User 'Judy Weeks' assigned to it. You can then apply this Security Group to a Contract record, and only the User 'Judy Weeks' can see that Contract record.
Security Groups can be generic for the entire record or you can assign alternative Security Groups to certain sub tabs of a record, so you could have a Contract record that 'Everyone' can see but you can restrict the Contract Financials tab so values will only be visible to specific Security Groups.
You can also control the automatic behavior of Security Groups for your account in your Account Configuration area.
If you make changes to a records Security Group values you can decide if you wish these updates to cascade down to the sub tabs and their behavior. You have three options to choose from, the system default is option 3.
Security Group Sub Tab Behavior
- Option 1 - Not Linked (Security Group changes applied ONLY to future Sub Tab records. Sub Tab security is editable) - if selected, any changes to a records Security Group value will only apply for future Sub Tab records created. All existing Sub Tab records will keep their previous Security Group values - the Sub Tab record Security Group field can be edited.
- Option 2 - Linked (Security Group changes applied to All sub-tab records. Sub Tab security non-editable) - If selected, any changes to a records Security Group value will ripple down to all existing and future Sub Tab records - the Sub Tab record Security Group field cannot be edited.
- Option 3 - Semi-Linked (Security Group changes applied to ALL sub tab records, except where sub tab Security has been manually changed. Sub tab security is editable) -If selected, any changes to a records Security Group value will ripple down to all existing and future Sub Tab records, except if a Sub Tab records Security Group has already been updated - in this case, the existing value will remain. The Sub Tab record Security Group field is editable.
