Adding People to a Contracts works a little differently than the other fields as People can exist as their own record that can be created and edited.
Rather than typing a Person name in the Contract field, intelligentcontract links the Person directly to the Contract and vice versa. This link is displayed in a sub-tab below the main record.
To add a Person to a Contract, there are two ways, either link a Person to a Contract or a Contract to a Person - this will be dependant on which record you are initially in but both options result in the same linkage.
Link a Person to a Contract
If you are updating an existing Contract:
- Navigate to Contracts
- Find the specific Contract and open
- Scroll to the bottom of the form to the sub tabs, select the Person tab
- Press [New], you will be presented with the Create Person form
If you are creating a new Contract:
- Navigate to Contracts > Click [New]
- Create the new Contract and save the record, scroll to the bottom of the form and the sub tabs will now be displayed
- Select the Person tab
- Press [New] you will be presented with the Create Person form

- Person - Click in the field to display a drop down list of all the existing People records held within the database. Use the scroll to find your Person or start typing in the field and the drop down list will adjust as you type to match your text. You can use the magnifying glass to display the 'Find' screen to be able to search for the correct Person using various options, such as email or Party. If this is a new Person then use the + Add New Person option to create a new record.
- Contract - The Contract will default from the Contract record
- Primary Contact - If this is ticked then this Person will be displayed on the Contract Summary screen if selected in a Contract View
- Role - Identify the relationship of the Person to the Contract (For example Account Manager)
- Signatory - Identifies if and when the Contract has been signed by this Person (if not yet signed then it can be classed as In Progress)
- Comments - Additional details regarding this Persons link to the Contract
Link a Contract to a Person
If you are updating an existing Person record:
- Navigate to People
- Find the specific Person and open
- Scroll to the bottom of the form to the sub tabs, select the Contract tab
- Press [New], you will be presented with the Create Contract Person form
If you are creating a new Person:
- Navigate to People > Click [New]
- Create the new Person and save the record, scroll to the bottom of the form and the sub tabs will now be displayed,
- Select the Contract tab
- Press [New] you will be presented with the Create Contract Person form

- Person - The Person name will default from the Person record

TIP: The first Person record to be assigned to a Contract will default as the Primary Contract, if more than one Person is assigned, the Primary flag can be adjusted accordingly, this Primary Person record value will be displayed in the Summary screen if the field has been selected to be displayed.
TIP: If you link and External Person to a Contract, then their corresponding Party details are added to the Contract Party record automatically - this does not occur for Internal People
Once the link is saved you will then have the ability to search and view all the Contracts associated to a specific Person or all the People associated to a specific Contract.
Tip - If you are using the Lists feature, you can add multiple People records in one action to a Contract record by applying an existing List.
If you are using the Automation feature and a valid Automation Rule applies to your Contract record then once you have saved all your People links will be automatically created with their specified Roles.
