intelligentcontract allows you to keep a record of all People that have a relationship with your Contracts, a Person record will allow you to enter relevant details about the Person such as their Job Title, contact information, and the Company they wok for.  

There are different types of People records that you can create within the account and these are identified in the People summary screen using icons next to them, when you hover over the icon and pop up will display their meaning.

A Person record who does not have access to the account will be represented just by their name with no icon:

A Person record who is a User will be represented with a person and keyboard icon:

A Person record who is an Admin User will be represented by a person and padlock icon:

A person record who is the Key user for the account will be represented by a person and key icon:

Note: Key Users, Admin User and User records can only be updated by Administrators - this is because their Person record is linked to their User record by their email address.  As the email address is used for Login purposes only Admins can update User type records.

The People form is fully configurable so you can add more fields to the form to reflect the information you wish to record.

The Person form can also be identified by Type - this can allow you to identify the Type of People that you wish to create a record for, such as Internal and External. Please refer to the Value Set article for information on how to update these values.

Note: The Person Type should not be the Role a person has to a Contract, a Person can be a certain Type but have multiple Roles depending on the Contracts they are allocated to, these Roles are identified when you allocate the Person to a Contract.

Once the Person Type is identified then you can control the fields that are displayed based upon the Type within the form Layouts screen, select the relevant value from the Person Type drop down list and then adjust accordingly.  Please refer to the Changing Form Layouts article for more details on how to do this.

Once a Person is create they can be associated to your contracts, please refer to the Adding People to Contracts article for more information on how to do this.  

As you use intelligentcontract relevant information regarding this Person will begin to compile, if you open up the record the tabs at the bottom will display information about the Person such as:

  • The Contracts they are allocated to
  • Any Alerts created for them and their status 
  • Any assigned Tasks and their status
  • Notes

Any of the tab records (such as an Alert) can be viewed by just clicking on it, when clicked, the relevant record will be displayed.
